Workspaces and Workspace Settings
Create, rename and delete Qualflare workspaces, see what applies workspace-wide, and use the Settings, Users, Plan & Billing and sign-in pages.
Last updated
In Qualflare, a workspace is the top-level container for your projects, members, plan and sign-in settings; the person who creates a workspace is its Owner, and its URL path can never be changed.

Workspace hierarchy
Members belong to the workspace, and each project can also give a member a project role (see Roles and permissions).
A workspace contains all its projects, and each project holds its own test suites, test cases, launches and results. Everything in Qualflare belongs to a workspace. Projects are created within workspaces, and all testing activities happen within projects.
What lives at the workspace level
A few things are configured once per workspace, not per project:
- Plan & Billing: the subscription tier (Starter/Core/Scale/Enterprise, or the free Open Source plan) applies to the whole workspace, along with its limits: projects, team members, test cases, monthly launches and AI usage. Only the workspace Owner can open Plan & Billing. See Plans & Pricing.
- Single Sign-On & SCIM Provisioning (Enterprise): SAML connection setup, verified domains, and automatic user provisioning are all workspace administration surfaces, not per-project settings. See SSO & SCIM Provisioning.
- Audit Logs: a workspace-wide record of significant actions taken by members or the system, for compliance and security review. See Audit Logs.
- Help improve Qualflare AI: a switch on the workspace Settings page, on by default, that lets Qualflare keep anonymous records of this workspace's AI requests. See Help improve Qualflare AI.
- Isolation: data is isolated between workspaces for security and organization. See the shared responsibility model.
One workspace or several
Single Workspace: Most companies use one workspace for the entire organization. All teams collaborate in the same space with separate projects for different products.
Multiple Workspaces: Large organizations or agencies may use multiple workspaces to:
- Separate different companies or clients
- Provide completely independent teams with their own space
Users can belong to more than one workspace. To keep Dev, Staging and Production apart, use environments in one project, not separate workspaces.
Create a workspace
Your first workspace is created during sign-up (see the Quickstart). To create another:
Open All Workspaces
Click the arrows next to the workspace name at the top of the page to open the workspace switcher, and choose All Workspaces.
Start a new workspace
Click Create Workspace.
Choose the workspace type
Choose Team or Open Source as the Workspace Type. For an Open Source workspace, see Activating the Open Source plan.
Name the workspace
Enter a Workspace Name and a URL Path. The URL path is the workspace ID, and you can't change it later.
Create it
Click Create Workspace. You're the new workspace's Owner.
What you can do in a workspace
- Rename your workspace: see Workspace Name
- Invite people to projects: see Invite and manage users
- Manage roles and permissions: see Roles and permissions
- Configure workspace settings: see Workspace Settings page
- View billing and usage information: see Billing and Subscription
Workspace Settings page
The Settings page in the workspace sidebar shows the workspace name and URL, the AI privacy switch, and the option to delete the workspace.
Workspace Name
Owner · workspace (requires the Owner role in the workspace)The display name for your workspace.
- Field: Text input, at least 3 characters. It can't contain a web address.
- Who can change it: Owner only
- Update: Click Save Workspace. The button turns on once the name changes.
Workspace URL
The workspace ID, shown under Workspace URL. You can't change it. Workspace pages are at app.qualflare.com/workspace/<workspace-id>.
Help improve Qualflare AI
Editor+ · workspace (requires the Editor role or higher in the workspace)Controls whether Qualflare retains anonymized records of this workspace's AI requests to improve defect clustering and analysis.
- Field: Toggle, default ON
- What's collected when enabled: The prompt, the result, and the failure messages and test names involved in each AI request.
- What's removed: Credentials and email addresses are stripped before storage. Records carry no workspace or project identifier — they can't be traced back to your workspace.
- Turning it off: Stops new records from being collected within roughly 5 minutes. It does not retract records already collected. Those records are anonymous and carry no identifier, so there's nothing to look up and delete.
This setting is separate from your subscription plan and applies workspace-wide.
The Privacy Notice describes these records in section 6, AI Features.
Delete Workspace
You can delete a workspace only after you delete every project in it. Deleting a project permanently removes its test cases, suites, launches, defects and milestones. Deleting the workspace then removes it for everyone. You can't undo either step in the app.
Only the Owner sees the Delete Workspace card at the bottom of the Settings page.
Delete every project
Delete every project in the workspace, as in Delete a project. That needs the Owner role in both the workspace and the project. While a project is left, deleting the workspace fails with "You must delete all projects in this workspace before deleting it."
Open the Delete Workspace card
Click Delete Workspace.
Type the workspace ID
Type the workspace ID (the last part of the Workspace URL) to confirm.
Confirm the deletion
Click Delete Workspace.
Members
The Users page in the workspace sidebar lists everyone in the workspace and every pending invitation, and every member from Viewer up can open it. Invitations come from a project, not from this page: see Invite and manage users for inviting, changing roles and removing members. What each role can do is in Roles and permissions.
Security settings
Control how members sign in. These settings are on the Single Sign-On, Verified Domains, SCIM Provisioning, and Authentication pages under Administration in the workspace sidebar. Only the workspace Owner can open them.
Single Sign-On (SSO)
Enterprise workspaces can connect a SAML 2.0 identity provider (Okta, Microsoft Entra ID, Google Workspace, and others) for centralized sign-in. On top of that, SCIM 2.0 can automatically provision and deprovision users. Setup spans three dedicated pages — Single Sign-On, Verified Domains, and SCIM Provisioning — under Workspace → Administration.
See SSO & SCIM Provisioning for the full setup flow, attribute and role mapping, domain verification, enforcement, and SCIM provisioning reference.
Two-Factor Authentication (2FA)
Location: Workspace → Administration → Authentication (Owner only, on every plan)
The Require two-factor authentication switch makes every member of the workspace use a second factor to sign in. An authenticator app or a passkey counts. SMS codes aren't supported.
Turning the requirement on signs out every member who has no second factor, right away. It also permanently revokes the access tokens in this workspace's projects that were created by someone without a second factor, so CI pipelines that use them stop working. Turning the requirement off doesn't bring them back. Ask members to set up a second factor before you turn it on, and create new tokens afterwards.
- Turning it on: You need a second factor on your own account first. Until you have one, the switch is disabled and the page says "Set up two-factor authentication on your own account first." Confirm with Require two-factor authentication. Qualflare may ask you to confirm it's you first.
- Members without a second factor: They must set up an authenticator app the next time they sign in, whether they use a password, Google, GitHub, or SSO. They can add a passkey from their Passkeys page afterwards.
- Turning it off: Always allowed. Nobody is signed out.
Members set up an authenticator app or a passkey on their account pages. See Account Security.
Sessions and Network Access
Workspaces have no session-timeout or IP allowlist setting. To limit how long a session from an SSO sign-in lasts, set Maximum session length (hours) on the Single Sign-On page. See SSO session lifetime.
Integrations
Connect third-party tools once from Integrations in the workspace sidebar Editor+ · workspace (requires the Editor role or higher in the workspace), then set each one up for a project:
- GitHub: pick the Repository, and set the Labels, Assignees and the Events that create a GitHub issue, in Project > Integrations. See GitHub.
- GitLab and Jira: install each once here, then connect it to your projects. See GitLab and Jira.
- Slack: pick the Default Channel and the Events that post a message, in Project > Integrations. See Slack Integration.
- Webhooks are set per project, not per workspace: open the project and go to Settings > Webhooks. See Webhooks for the events, payload, and signature.
Billing and Subscription
Billing is not part of Workspace Settings. It has its own page, Plan & Billing, in the workspace sidebar under Management. Only the workspace Owner can open it. Other members don't see it in the sidebar. If they open it from a link, they see "Plan & billing is owner-only".
Plan Details
Plan & Billing shows your current plan. On Starter or a paid plan it has two buttons:
- Upgrade Plan opens the plan picker, where you choose a plan and the number of seats.
- Manage Billing opens the Stripe billing portal.
During a trial it shows the days left and a Subscribe and pay button instead.
For what each plan includes, see Plans & Pricing. For the steps, see Changing plans.
Open Source Setup
Activate the free Open Source plan for an empty workspace by connecting
GitHub and linking an eligible public repository. Owner-only. The workspace
must be on the Starter plan and have no projects. No menu item links to this
page: open app.qualflare.com/workspace/<workspace-id>/open-source.
| Field | Description |
|---|---|
| Connect GitHub | Installs the Qualflare GitHub App, used to verify repository eligibility |
| Repository | The target repository, entered as owner/repo |
Full eligibility rules and both setup paths (converting an existing workspace vs. starting a new one) are in Open Source → Activating the Plan.
Usage Metrics
Plan & Billing lists your usage against each limit on your plan:
- The Resource table: Projects, Team Members, Test Cases, Test Suites, Shared Steps, Test Plans and Storage.
- The Monthly Quota table: Launches, which resets monthly.
- The AI Feature Quota table: Agent Messages (Monthly), Agent Messages (Daily), and a monthly row for each AI feature on your plan, such as Case Suggestions, Coverage Analysis, Step Generation, Case Analysis and Launch Analysis.
Rows for features your plan does not include are hidden. For the numbers, see Plans & Pricing.
At a limit:
- Team Members: on a paid plan, the limit is the number of seats you bought. Remove a member to free a seat, or change your seat count in the billing portal.
- Projects: projects can't be archived, so the only way to free a slot is to delete a project. Deleting a project can't be undone. It removes the project and every test case, suite, launch, defect and milestone in it, for everyone, and you can't restore it in the app. See Managing Projects.
- Test Cases: archived test cases still count toward the limit.
Payment Methods
Qualflare takes payments through Stripe. Select Manage Billing on Plan & Billing to open the Stripe billing portal. There you can update your payment method, change your seat count and cancel your subscription.
If a payment fails, Plan & Billing shows Payment required — your last payment failed, with a Complete payment or Manage billing button.
